Tracking Organizational Competencies in Dynamics AX 2012

By Kristy Loeks | September 9, 2014

Microsoft Dynamics AX 2012 HCM functionality includes a robust feature set for comprehensive competency tracking. Competencies held by and competency ratings assigned to workers, applicants and company contacts can be analyzed against competencies desired, through the use of reports and inquiries. Configuration of competency tracking within Dynamics AX is very simple, and can be performed by HR end users, without assistance from IT support.

Tracking Education in Dynamics AX 2012

Education instances can be tracked at a level of detail that is appropriate for your organization. The following items can be, but do not have to be, tracked for each educational experience assigned:

  • Education discipline
  • Level of education
  • Institution
  • Start and end dates
  • GPA
  • Credit hours (including earned and required for degrees in progress)

In the example below, Aaren pursued a Bachelor’s degree in Business Administration at Ash Tree College. He started on 9/1/2003 and completed his degree on 5/15/2007, earning a total of 160 semester credit hours.

Tracking Professional Experience in Dynamics AX 2012

Professional experience information tracked for each instance includes the employer name, position held, contact information, start and end dates, and notes.

The example below shows that Aaren worked as a Sales Rep for Elm Tree Entertainment from 6/4/2007 to 7/25/2008, and includes contact information for Elm Tree Entertainment.

Tracking Positions of Trust in Dynamics AX 2012

Positions of trust are positions or roles that a person performs outside and in addition to the responsibilities of their primary employment relationship. Information tracked includes employer name, position, start and end dates, and notes regarding the position. The example below indicates Aaren was Membership Chair for the MNASP from 1/1/2012 to 12/31/2012.

Tracking Skills in Dynamics AX 2012

Both current skills and target skills can be tracked. A specific skill is assigned as Actual or Target, along with the skill rating model and skill rating. The level of experience is assigned, along with the individuals that examined and approved the skills rating, if applicable.

In the example below, Aaren is assigned the skill ‘SalesCalls’ as an Actual skill, so it is a skill he already possesses. His skill is rated using the ‘Skills’ rating model, and his assigned level is 5 as of 9/26/12. Aaren’s skill assignment has not been examined, nor approved.

Tracking Certifications in Dynamics AX 2012

Certification information tracked includes the start and end dates, as well as whether or not the certification requires renewal. In the example below, Aaren holds the certification ‘SS’, the certification is valid from 1/1/2012 to 1/1/2014, and it does require renewal.

Certificates

The ‘Certificate expirations’ report allows an end user to quickly identify those worker certificates that will be expiring within a stated time period. The example below includes certificates expiring in January, 2014. You can see that Aaren’s SS certificate is included in the report.

Tracking Course Completions in Dynamics AX 2012

Course completions can be tracked whether the course was offered internally or by an outside party. Information tracked includes the course name, start and end dates, the course ID if it is an internally administered course, and the course location. The below example indicates Aaren has completed two courses, on internal and one external.

Tracking Test Results in Dynamics AX 2012

Tests, whether internally or externally administered, are tracked by test type, and can include a minimum score requirement and renewal frequency. Once configured, tests added to workers can be tracked with a date required for completion, pass/fail status, score received, and actual date of completion. The example below indicates Aaren successfully passed the Situational judgment test on 10/3/2011 with a score of 95, and that he will be required to renew this test on 10/3/2013.
