Dynamics 365 Field Service Automation: From Service Request to Scheduled Work with Power Platform and AI
A growing service organization needed a better way to manage work across local technicians and a national provider network.
For a commercial technology and security provider, responding to a service request involves much more than putting an appointment on a calendar.
The company supports door-entry, fire-alarm and other technology systems for customers nationwide. Automating Dynamics 365 Field Service with Power Platform and AI helps coordinate requests across its regional technicians and national network of local service providers.
Those two models require different approaches, but they share the same basic need: Give the right person clear, accurate information so the work can move forward without unnecessary delays.
As the company’s service operation grew, its team saw an opportunity to create a more consistent process for receiving requests, creating work orders, selecting providers and coordinating schedules.
Business Challenge: Turning an Email into a Service Call required too Many Manual Steps
Many national service requests arrived by email. Someone on the service team had to review each message, identify the important details and create the corresponding work order.
From there, the team needed to determine which provider should handle the request. That decision could depend on the customer, the service location and the type of work required. After identifying the right provider, the team still had to coordinate scheduling and keep the request moving.
Each step was necessary. Together, they created a process that depended heavily on employees moving information between messages, systems and people.
The company needed a better way to:
- Capture service-request information consistently
- Reduce repetitive work-order entry
- Apply its preferred-provider logic
- Coordinate scheduling with outside providers
- Support its internal technician team
- Connect service activity with project and financial information in Acumatica
The goal was not to remove people from the process. It was to give them a more dependable starting point and reduce the routine work surrounding each service request.
Solution: Building the Service Process Around the Way the Team Actually Works
Stoneridge worked with the company to implement Microsoft Dynamics 365 Field Service as the foundation for its service operation.
The solution supports two distinct parts of the business. The local service team can create work orders, dispatch internal technicians and manage agreement-based preventive maintenance. The national team can coordinate work through outside service providers without requiring those providers to work directly inside the company’s system.
But implementing Field Service was only part of the answer. The standard system needed to be extended around the company’s email-driven intake and provider-selection processes.
That is where Microsoft Power Platform and AI became central to the solution.
Using Power Automate and AI to Create a Better Starting Point
Incoming service-request emails enter a dedicated Dynamics queue. From there, Power Automate creates a work order in Dynamics 365 Field Service.
An AI model reviews the email and extracts information needed for the work order. Instead of starting with an empty record and retyping information from the message, the service team begins with a work order that has already been populated.
A team member reviews the information before the request moves forward. This human checkpoint remains important because service requests can vary, and employees bring context that an automated process may not have.
Once the work order is ready, additional automation can help identify a preferred service provider. The process considers factors such as:
- The customer requesting service
- The geographic area
- The type of service required
- The company’s established provider relationships
The selected provider receives a scheduling request and can respond to the proposed time. That response helps move the work into the booking process while keeping the company’s service team involved.
Rather than replacing the decisions employees make, the solution helps organize the information around those decisions.
“This is a good example of where Power Platform really adds value. Field Service handled the core service-management process, and then we used Power Platform to address the pieces that were unique to their business, from how requests come in to how work gets routed and scheduled. We weren’t changing their process just to fit the technology. We were using the technology to support the way their team needs to work.”

Connecting Service Operations with Acumatica
The company’s service process does not end when a technician or provider is scheduled. Work-order information also needs to connect with project, budget, billing and financial activity managed in Acumatica.
The solution integrates Dynamics 365 Field Service with Acumatica to exchange information related to:
- Customers
- Vendors
- Work orders
- Projects
- Revenue budgets
- Cost budgets
- Project transactions
Additional tracking supports cost management, financial reconciliation, billing oversight and revenue visibility.
This connection gives the service and financial sides of the organization a more consistent way to work from the same operational activity. It also allows the company to keep Acumatica in place while using Dynamics 365 Field Service and Power Platform to support the service experience.
Result: A Connected Process, with People Still at the Center
Today, Dynamics 365 Field Service provides the operational foundation for managing service work. Power Automate connects the steps around incoming requests, work-order creation and provider coordination. AI helps turn information from an email into usable work-order data. The Acumatica integration carries relevant activity into the company’s project and financial processes.
The result is a process designed around how the organization actually serves its customers.
National service coordinators can work with a broad provider network. Local teams can dispatch internal technicians. Employees still review requests, apply their knowledge and handle exceptions, but they no longer have to build every part of the process from the beginning.
The project also shows where Power Platform can provide meaningful value. Dynamics 365 Field Service delivers the core service-management capabilities, while Power Platform connects the steps that are specific to the company’s people, customers and operating model.
Technology Shaped Around the Work, Not the Other Way Around
No two service requests are exactly alike. A national provider may need different information than an internal technician. A request for one type of system may require a different provider than work at the same location involving another technology.
The company did not need automation for automation’s sake. It needed a process that could handle those differences without asking employees to move the same information by hand at every step.
By bringing together Dynamics 365 Field Service, Power Automate, AI and Acumatica integration, Stoneridge helped the company create a service process that reflects the way its people work.
The technology prepares the information, connects the systems and moves the routine steps forward. The company’s employees remain responsible for the judgment, customer knowledge and relationships that make the service experience work.
Technology Used:
- Microsoft Dynamics 365 Field Service: Core platform for work orders, bookings, agreements, dispatch, and service operations.
- Microsoft Power Automate: Automates steps including creating work orders from incoming service requests, updating records, notifications, and parts of the provider-selection and scheduling process.
- Microsoft Power Platform / Dataverse: Supports the custom data and logic needed around the Field Service process, including preferred-provider relationships.
- AI / custom AI model: Extracts information from incoming service-request emails and uses it to populate Field Service work orders. We should verify the exact Microsoft AI technology/product name before publication.
- Custom APIs: Used with Power Automate to support data extraction and the automated workflow.
- Acumatica: Integrated with Dynamics 365 Field Service for data including customers, vendors, work orders, projects, revenue and cost budgets, and project transactions.
