Power Apps Warehouse Label Verification Improves Accuracy for a Specialty Coatings Manufacturer
A specialty coatings manufacturer and distributor serving residential, commercial, and industrial markets implemented Power Apps warehouse label verification to support more accurate fulfillment of its products. Its portfolio includes refinishing coatings, primers, adhesives, equipment, and related supplies used across a variety of applications.
As products move through the warehouse, accurate labeling plays an important role in ensuring customers receive the correct products and formulations. Warehouse employees are responsible for matching customer- and sales-order-specific labels to the appropriate bottles before products are prepared for shipment. Because products can vary by formulation, ingredients, color tint, and other characteristics, verification requires careful attention throughout the labeling process.
The company wanted a more consistent way to validate those matches before labels were applied. In addition to helping reduce the risk of labeling errors, leadership was looking for greater visibility into verification activities and a stronger foundation for traceability within warehouse operations.
Working with the client, Stoneridge Software implemented a Microsoft Power Platform solution that combines barcode scanning, real-time validation, and audit tracking within a mobile application designed specifically for warehouse employees. The solution helps employees verify label-to-bottle matches before labels are applied while creating a documented record of validation activity.
Business Challenges: Improving Warehouse Label Verification and Traceability
Accurate product labeling is an important part of the client’s fulfillment operations. As products move through the warehouse, employees are responsible for matching customer- and sales-order-specific labels to the appropriate bottles before products are prepared for shipment.
Key Challenges Included:
- Reliance on manual verification of label-to-bottle matches
- Risk of incorrect labels being applied during fulfillment
- Lack of real-time validation before labels were applied
- Limited visibility into verification activity
- Need to improve accuracy without creating additional work for warehouse employees
- Desire for improved traceability throughout the labeling process
During warehouse fulfillment, employees were responsible for matching labels to bottles that could vary by formulation, ingredients, and other characteristics. Because verification relied primarily on manual review, the company saw an opportunity to create a more consistent way to confirm those matches before labels were applied.
The goal wasn’t to change the warehouse process. Instead, the company wanted to add a validation step that would help employees confirm they had selected the correct label and bottle combination before moving forward. Just as importantly, they wanted greater visibility into verification activities and a reliable way to track those transactions over time.
By introducing a more structured approach to validation, the company hoped to strengthen accuracy, improve traceability, and provide warehouse employees with immediate feedback as part of their existing workflow.
Solution: Power Apps Brings Real-Time Label Validation into the Warehouse Workflow
Working closely with the client, Stoneridge Software designed and implemented a Microsoft Power Apps solution tailored to the organization’s warehouse processes.
The mobile-friendly application guides employees through a simple verification workflow. Users begin by scanning a sales order and then scanning both the product label and bottle barcode. The application compares the scanned information against approved label-to-bottle mappings maintained within Microsoft Dataverse and immediately determines whether the items are a valid match. If a mismatch is detected, employees are notified before the label is applied.
A key goal of the project was keeping the solution aligned with how employees already worked. Rather than introducing complicated screens or additional manual steps, the application was designed to support a fast and intuitive warehouse experience. Employees are guided through the verification process while receiving immediate feedback directly at the point where work is being performed.
Solution Highlights:
- Barcode scanning of sales orders, labels, and bottles
- Real-time validation of approved label-to-bottle combinations
- Immediate match and mismatch notifications
- Microsoft Dataverse for data management and transaction storage
- Audit tracking through captured scan transactions
- Auto-submit and auto-navigation enhancements to streamline scanning workflows
- Mobile-friendly experience optimized for warehouse operations
As warehouse users began working with the solution, the client and Stoneridge continued refining the experience. Additional enhancements were introduced to streamline scanning activities, including auto-submit and auto-navigation capabilities that reduced the number of interactions required and helped employees move efficiently through the workflow.
In addition to real-time validation, Microsoft Dataverse stores scanned transactions and verification records to support traceability. Stoneridge also implemented a Model-Driven App that allows authorized users to review verification activity and access scan history when needed.
While the solution itself is straightforward, it addresses a highly practical warehouse challenge by providing employees with immediate validation and creating a documented record of verification activity.
Results: Strengthening Barcode Label Verification, Accuracy and Warehouse Visibility
By introducing real-time validation into the labeling process, the manufacturer established a more consistent approach to verifying labels before they are applied to products.
Warehouse employees can now scan items and receive immediate feedback within the application, helping identify incorrect label-to-bottle combinations before they move further through the fulfillment process. By embedding verification directly into day-to-day activities, the organization created a process that supports employees while helping reduce the risk of manual errors.
The solution also improved visibility into verification activities. Scan transactions are captured and stored within Dataverse, creating a documented history of validation events that can be reviewed when needed. This provides stronger traceability while offering greater insight into warehouse operations.
Equally important, the solution fits naturally within existing workflows. Employees can complete verification activities as part of their normal process without additional complexity, helping support both operational efficiency and accuracy.
Key outcomes included:
- Real-time validation of label and bottle combinations
- Earlier identification of potential labeling issues
- Reduced reliance on manual verification alone
- Improved traceability through recorded scan activity
- Centralized history of verification transactions
- Streamlined scanning workflows for warehouse employees
- Greater consistency in the labeling process
The project reflects the value of combining operational knowledge with the right technology approach. Through this project, the client and Stoneridge Software developed a solution that fits naturally within existing warehouse workflows while helping employees confirm product-label matches more consistently. The result is a stronger foundation for accuracy, visibility, and traceability throughout fulfillment operations.
