Data Management Processes in UAT/PROD After Data Entity Changes to Your Dynamics 365 Finance Environment

There might be times you have some new data entities or changes to existing data entities in Dynamics 365 Finance and Operations, or a new model was added to your Dynamics 365 Finance environment. Here are the steps needed for you to see the new entities in Data Management and to export them to your BYOD database.

  • Refresh the Data Entity list.
  • Publish the new data entity.
  • Update the export job to include new data entity

1. Refresh the Data entity list in Data management so you can view the new data entities in Data Entities tile in your D365 Finance application

NOTE: You only need to do this when there is a change in Data entity in the D365 Finance environment. Data entity changes are done via code moves to the D365 Finance environment.

Steps to refresh the data entity list:

a) Go to the Framework parameters tile in Data Management workspace

b) Click on Entity settings on the left

c) Then click on the Refresh entity list button

This process will run for a few minutes. Once the process is completed, you should now be able to see the new entities in the Data Entity tile in DM module.

2. Publish the changed data entities so the schema is added/updated in the BYOD database

Steps to publish the data entity:

a) In Data Management workspace, click on Data Entities tile

b) Look for and select the entity you want to publish then click on Publish on the menu bar

c) Select the Source name for the environment you are publishing to (TEST or PROD?), then click on Publish on the menu bar.

You will see a message that a job has been scheduled. And when completed you will see a message that the job completed.

3. Update the export batch job and add the new data entities

Steps to update the export batch job:

a) In Data Management workspace, click on Export Tile and select the export job that you had setup for the appropriate environment (UAT/TEST/PROD).

If you have not setup a Data Refresh to the TEST/UAT data source in TEST/UAT, go ahead and setup one up so you can export all the data entities like in PROD. (The Workaround is to also create the export jobs for TEST in PROD. That way when you do a data refresh from PROD to your TEST/UAT environment they will be available in TEST/UAT).

b) If you have new data entities, add the new data entities to the export job. Make sure to select the appropriate Target data format so it gets exported to the correct BYOD db. You can see where the BYOD database resides in the Configure entity export to database tile in Data Management workspace.

NOTE: After you have pushed the new code with new data entities for export into PROD, make sure to update the export job in PROD with the new data entities.
