Microsoft Dynamics GP Security Settings

The good news is that Microsoft makes it easy for you to keep tabs on your business information, and Microsoft Dynamics GP’s easy-to-use security settings help to ensure your business information won’t fall into the wrong hands.

What You Need to Know About Security Settings Microsoft Dynamics GP

1) The “Master Switch”

Dynamics GP has a master setting for switching ALL of the security for your software on or off. This option remains from previous Dynamics GP versions, but it became relatively unnecessary with the more recent software updates. Why would anyone want to switch off their Dynamics GP security? The simple answer…

DON’T! Leave the security on!

Follow these steps to ensure your Security is activated:

  • Look for the Administration button of your Navigation Pane.
  • On the Administration Area Page, select Company under the Setup and Company headers.
  • On the lower right of the window, you will see two checkboxes: Security and Account Security
  • Make sure the Security checkbox is selected and you’re secure (shown above)

2) “Account Security” Check Box

Account Security is located beneath the Security checkbox. The Account Security checkbox is completely dependent on your business having an organizational structure that dictates user access. A situation that can cause alarm is if your chart of accounts appears to be deleted. NOTE: If an organizational structure has not been created, and the Account Security box is checked, no one can access your chart of accounts and they will appear to be deleted.

Follow these steps to ensure the Account Security checkbox is not selected:

  • Look for the Administration button of your Navigation Pane.
  • On the Administration Area Page, select Company under the Setup and Company headers.
  • On the lower right of the window, you will see two checkboxes, one titled Security and the other titled Account Security.
  • Make sure the Account Security checkbox is NOT selected and you’re all set!

Refer to these settings on a regular basis to ensure the security of your Dynamics GP is properly set.
