Migrating Users’ Email from Exchange Web Services to Microsoft Graph in Dynamics 365 Finance and Operations
Recently, Microsoft announced that it is requiring you to change your email provider from Exchange to Microsoft Graph.
In addition to making this change to the email parameters form, you also need to change your users' Email Provider ID in their "user's option form."
Why is Microsoft Making this Change?
Microsoft says Exchange Web Services won't receive any active investment anymore. Additionally, it comes with three key benefits:
- Stricter security and governance policies
- Simpler development through Graph Explorer
- REST-based APIs
How to Migrate to Microsoft Graph
While this might seem like a daunting task, especially for enterprise organizations running Dynamics 365 Finance and Operations and have lots of users, you can use this Excel add-in to quickly change the email provider ID field for your users to Microsoft Graph.
Start by opening the entity data in Excel when you start from Excel then follow these steps to complete the migration to Microsoft Graph:
- In Excel, on the Insert tab, in the Add-ins group, select Store to open the Office Store
- In the Office Store, search the keyword "Dynamics", and then select Add next to Microsoft Dynamics Office Add-in (the Excel add-in)
- If you are running the Excel add-in for the first time, select Trust this Add-in to enable the Excel add-in to run. The Excel add-in runs in a pane on the right side of the Excel window
- Select Add server information to open the Options pane
- In your browser, copy the URL of your target Finance and Operations app instance, and paste it into the Server URL field. Then delete everything after the hostname. The resulting URL should have only the hostname.
- For example: if the URL is https://xxx.dynamics.com/?cmp=usmf&mi=CustTableListPage, delete everything except https://xxx.dynamics.com
- Select OK, and then select Yes to confirm the change. The Excel add-in is restarted and will load the metadata.
- Select Design and the Excel add-in will retrieve entity metadata
- The Design button is now available. If the Excel add-in has a Load applets link, you likely aren't signed in as the correct user and you will need to troubleshoot that issue.
- Select Add table and a list of entities will come up presenting in a "Name - Label" format
- Select User information then click Next
- Add the fields detailed in the picture below. Make sure to include Email Provider ID as this is the field you are going to change. Make sure the cursor is in Cel 1,1 and then click Done
- Click Refresh to pull the data into Excel
- Edit the Email provider ID field to the value you want (Example: Graph from Exchange)
- Select Publish to finalize the changes to your Finance and Operations application
