New Features in Dynamics 365 Business Central 2022 Wave 1 Release – Protecting G/L Accounts From Being Deleted

There are a lot of exciting New Features in Dynamics 365 Business Central 2022 Wave 1 Release to get excited about.

This is another in a series of blogs highlighting those features. In this post, we will take a look at Protecting G/L Accounts from being deleted, which is a simple feature that provides a great safety net for our Chart of Accounts.

Protecting your G/L Accounts from being deleted in Dynamics 365 Business Central 2022 Wave 1 Release

There is a new field in General Ledger (G/L) Setup that now allows D365 Business Central users to block the deletion of G/L accounts. In this blog, our goal is to teach you how to utilize that field.

Delete features in various software solutions can be good for cleaning up and decluttering our e-spaces, views, and folders.

However, they can have drawbacks as well. If you are ever worried about users getting too delete-happy and accidentally discarding something vital (or possibly legally required) in your Business Central Dataverse, there is a way to block that. An example is the PPP Loan forgiveness Account, which isn't used frequently but is important.

Microsoft added this simple solution to keep your accounts safe for a self-designated period. All you have to do is follow these steps:

In the General Ledger Setup, we can now toggle on “Block Deletion of G/L Accounts” and now all accounts with ledger entries cannot be deleted.

In addition to the new Block Deletion of G/L Account field, you should also note the other setup field, Check G/L Acc. Deletion After. While some might think this would prevent deletion after this date, what it actually does is it allows us to set a date that triggers a notification to the user that is removing a G/L account. In order for this to take effect, the toggle above must be set to off, the user must have permission to delete accounts, the account must balance to zero, and the accounting period for entries that were made must be closed.

If these conditions are met, the system will pop up a warning asking for certainty that you want to delete.
